Why sponsorship letters work

Local businesses are often willing to sponsor young people doing something impressive โ€” an expedition, a charity challenge, a DofE Gold award. But most teens never ask, because they do not know how to write a letter that sounds professional.

A good sponsorship letter is not complicated. It needs to do four things: explain who you are, describe what you are doing, make a specific ask, and explain what the business gets in return.

The prompt that writes your letter

Here is a prompt to paste into ChatGPT. Fill in the details in square brackets with your own information:

"Write a professional sponsorship letter from a UK teenager to a local business. The teenager is [your name], aged [your age], from [your town]. They are raising [your target] for [describe your expedition/trip]. They are asking the business for [specific ask โ€” e.g. a cash donation of ยฃ50, or a prize for a raffle]. In return, the business will be mentioned on their social media (X followers) and in any press coverage. The letter should be formal but warm, no longer than one page, and end with a clear call to action."

Tip: Be specific about what you are asking for. 'A donation' is vague. 'ยฃ50 towards my expedition fund' or 'a product or voucher for our raffle prize' is much clearer โ€” and more likely to get a yes.

Editing your letter

Once ChatGPT has produced a draft, you need to personalise it. Here is what to check:

Does it sound like you? Read it out loud. If it sounds too formal or too stiff, ask ChatGPT to 'rewrite this in a warmer, more personal tone.'

Are all the details correct? Check your name, age, town, target, and expedition details are all accurate.

Is the ask clear? Make sure it is obvious exactly what you are asking for and what the business gets in return.

Is there a follow-up plan? Add a line saying you will follow up by phone or email within a week โ€” and then actually do it.
