Planning your event calendar
The most successful fundraisers do not just organise one event โ they plan a series of events spread across the months before their trip. This creates consistent income and keeps their supporters engaged.
Here is how to plan your event calendar:
1
List all your available dates: School holidays, weekends, and evenings when you could run an event
2
Choose a mix of event types: Vary your events so your supporters do not get bored โ a bake sale one month, a sponsored event the next, a quiz night the month after
3
Space them out: At least three to four weeks between events gives you time to plan properly and gives your supporters time to recover from the last ask
4
Build towards milestones: Plan a bigger event when you are close to a milestone โ e.g. 'Help me hit ยฃ2,000 by Christmas!'
๐
Your event strategy summary
Here is your complete event strategy in five steps:
1
Choose events that suit you: Play to your strengths and your audience
2
Plan thoroughly: Use the checklist from Lesson 2 for every event
3
Promote early and often: Start three weeks before, across multiple channels
4
Execute well on the day: Arrive early, tell your story, document everything
5
Follow up immediately: Thank everyone, share results, plan the next activity
You now have everything you need to plan, promote, and run successful fundraising events. The key is to start โ your first event will always feel the most daunting, but it gets easier every time.
Remember: every pound you raise gets you one step closer to the adventure of a lifetime. That is worth every bake sale, every sponsored run, and every letter you write.
